Yes. A company can legally export, sell or transfer vehicles from Poland to another country. Depending on how the vehicles leave Poland, the process may involve temporary registration for export, temporary red registration plates, insurance, document handover and deregistration in Poland.

 

The correct procedure depends on one basic question:

 

Is the vehicle being sold abroad, transferred to another company in the group, relocated to another country or simply transported out of Poland?

 

For one vehicle, this may be a relatively simple administrative procedure. For a fleet of 20, 50 or 100 vehicles leaving Poland within a few weeks, it becomes a vehicle-exit project that should be managed by VIN.

Polish law expressly allows temporary vehicle registration for the purpose of exporting a vehicle abroad. The Road Traffic Act also provides mechanisms for deregistration when a vehicle is exported, sold abroad or subsequently registered in another country.

When Does a Company Need a Vehicle Export Process in Poland?

 

The problem usually appears when a vehicle that is already located or registered in Poland is no longer going to remain in the Polish fleet.

 

Typical examples include a foreign company completing a project in Poland and transferring its vehicles to Germany, Czechia, Turkey or another market; a leasing or rental company removing vehicles from its Polish fleet; a dealer selling Polish-registered cars to foreign buyers; or a corporation replacing a large fleet and selling the outgoing vehicles internationally.

 

Another common situation is an internal group transfer.

 

For example:

Polish company → German group company

 

or:

Polish project fleet → next project in another country

 

The fact that there is no external buyer does not remove the need to analyse the Polish vehicle documentation. The ownership structure, current registration status and method of transport still determine what needs to happen before the vehicle leaves Poland.

 

Can a Company Get Temporary Export Plates in Poland?

 

Yes.

Article 74 of the Polish Road Traffic Act allows temporary registration at the owner's request specifically to enable a vehicle to be exported abroad. The registration authority issues a temporary registration decision, temporary permit and temporary registration plates.

 

In Warsaw, the city currently describes the same procedure explicitly: an owner who wants to export a vehicle abroad can apply for temporary registration and receive temporary red registration plates and a temporary permit.

 

How long are Polish temporary export plates valid?

 

The temporary permit is generally issued for 30 days.

During this period it replaces the normal registration certificate for the temporary registration. Warsaw also instructs the owner to insure the vehicle on the day of registration.

 

If the vehicle is being exported abroad, Warsaw confirms that the temporary plates and temporary permit do not have to be returned after the temporary registration period.

For vehicles driving through several countries, insurance coverage and any country-specific transit requirements should still be checked before departure.

 

Does Every Vehicle Leaving Poland Need Export Plates?

 

No.

This is an important distinction.

Temporary export registration is particularly relevant when the vehicle itself must be driven out of Poland.

The correct route may be different if a vehicle is loaded onto a truck or transporter and does not independently use Polish public roads as part of the export movement.

 

The situation also changes depending on whether the vehicle is still owned by the Polish company, has already been sold to a foreign buyer, is leased, or is being transferred within the same corporate group.

For this reason, a company should not automatically order export plates for every vehicle in a fleet.

 

Before starting the process, each vehicle should be classified by:

ownership → registration status → destination country → method of transport → sale or internal transfer

For a large batch, this classification can prevent the same administrative mistake from being repeated across dozens of vehicles.

 

What Documents Are Needed for Temporary Export Registration?

 

The exact file depends on the vehicle and its history.

For a company vehicle already registered in Poland, the starting point will normally include the ownership documentation, current registration certificate, registration plates and company representation documents.

Warsaw's current procedure states that a company acting as a legal person must present its current KRS information and that the registration procedure may be handled by an authorised representative.

 

Where relevant, the authority may also require documents connected with the vehicle's original registration route, such as approval documentation, customs clearance or excise documentation. Warsaw's current requirements specifically refer to ownership documents, registration documents and plates, approval/individual approval documentation where applicable, customs clearance for vehicles imported from outside the EU, and documents confirming the excise position for relevant vehicle categories.

 

This is why the safest approach for a fleet is to check a representative vehicle file before submitting 30 identical applications.

 

How Much Do Temporary Export Plates Cost in Warsaw?

 

For a passenger car, Warsaw currently lists the total communication fee for temporary registration for export at PLN 111.

 

This consists of temporary export plates, a temporary permit and the temporary-plate legalisation sticker. Additional charges may apply, for example where a power of attorney is filed.

The administrative fee is usually not the difficult part of a corporate fleet exit.

 

The operational difficulty is coordinating:

 

30 vehicles → 30 document files → 30 VINs → 30 registration statuses → departure deadlines

while ensuring that the documents handed to the foreign buyer or receiving company remain consistent with the Polish records.

 

How Does Vehicle Deregistration Work After Export From Poland?

 

Export plates and deregistration are related, but they should not be treated as exactly the same administrative action.

 

Under Article 79 of the Road Traffic Act, a vehicle may be deregistered where it has been exported from Poland and registered abroad or where it has been sold abroad. In that situation, the application may be made by the owner who is the seller or by the buyer of the vehicle being exported.

There is also an important mechanism connected directly with temporary export registration.

 

Where a temporary permit for export has been issued and the owner submits the statutory declaration that the vehicle will be exported abroad, the Road Traffic Act provides for deregistration by the registration authority ex officio.

 

This means that the precise sequence should be determined before the vehicle leaves, rather than assuming that a separate deregistration application will always be required later.

 

What if the vehicle was already sold abroad?

 

Gov.pl confirms that export or sale abroad is one of the statutory grounds for deregistering a vehicle.

Depending on the situation, evidence may include documentation confirming the foreign sale or transfer and the relevant declaration, or evidence that the vehicle has been registered abroad. The competent authority is generally the authority responsible for the vehicle's last Polish registration.

 

For a company selling many vehicles, the important point is to preserve the relationship between:

 

VIN → invoice/sale agreement → receiving company/buyer → export documentation → Polish registration status

 

A missing document for one car is a single problem. The same missing document across 50 cars can stop an entire batch.

 

Selling a Polish Company Vehicle Abroad vs Transferring It Within a Group

 

These are not necessarily the same transaction.

 

Sale to a foreign buyer

 

A vehicle may be sold to a dealer, company or other buyer outside Poland.

The file should clearly show when ownership changed and who is responsible for the vehicle during the export process.

 

The vehicle may then require a temporary export registration if it will be driven abroad.

 

Transfer to another group company

 

A foreign corporation may finish a Polish project but continue using the same vehicles elsewhere.

For example:

 

Polish subsidiary → Czech subsidiary

or:

Polish project → German project

 

Here, the company should first establish whether ownership is actually changing or whether the same legal owner is only relocating the vehicle.

 

That distinction affects the documentation required for the Polish side and for the subsequent registration in the destination country.

 

Fleet Exit From Poland After a Construction or EPC Project

 

This is a particularly important problem for foreign contractors.

A company may mobilise 20–100 vehicles for a two- or three-year project in Poland:

pickups, passenger cars, vans, minibuses and technical vehicles.

 

When the project ends, the fleet may no longer be needed in Poland.

A practical fleet-exit workflow can look like this:

 

vehicle list → ownership verification → Polish document check → destination assignment → export registration where required → temporary plates → insurance → document handover → deregistration/status confirmation → transfer abroad

 

This should be planned before demobilisation begins.

If the site is closing on 30 November, discovering on 28 November that several registration certificates, ownership documents or powers of attorney are missing creates an unnecessary operational problem.

 

Fleet Defleeting and Remarketing From Poland

 

The same process can apply to leasing, rental and fleet-management companies.

A typical cycle is:

 

vehicle enters fleet → operating period → defleet → inspection → remarketing → domestic or foreign buyer

When the buyer is located outside Poland, an additional administrative layer may appear.

 

The vehicle may need to leave Poland physically before it can be registered in the buyer's country.

For companies processing vehicles continuously, this should not be treated as a separate one-off office visit for every car.

 

It should be managed as a repeatable workflow.

 

Can 20, 50 or 100 Vehicles Be Handled as One Project?

 

Yes from an operational perspective, although every vehicle still has its own registration record and document file.

This is where batch processing becomes useful.

 

Instead of treating 50 cars as 50 unrelated cases, the company can maintain one master vehicle list containing:

VIN, registration number, current owner, destination country, buyer or receiving entity, document status, intended departure date and administrative status.

The actual authority procedure still takes place per vehicle, but the company's internal process can be managed centrally.

What Should Be Checked Before a Company Exports a Fleet From Poland?

 

Before moving the vehicles, we recommend checking at least one representative file and then the complete VIN list.

The most important questions are whether the vehicle is currently registered in Poland, who legally owns it, whether it is leased or financed, whether it is being sold or transferred, where it is going, whether it will leave Poland on its own wheels or on a transporter, and which documents the destination country will require.

For a batch of vehicles, also establish one responsible person on both sides of the transfer.

A simple email chain between ten departments is not a fleet-exit process.

 

Exporting Vehicles Outside the European Union

 

Moving a vehicle from Poland to another EU country and exporting it outside the EU are not identical processes.

The Polish registration procedure is only one layer.

 

An export outside the EU may also involve separate customs procedures, while VAT and accounting treatment depend on the nature of the transaction.

Vehicle registration, customs treatment and tax treatment should therefore be checked separately.

Common Mistakes When Exporting Company Vehicles From Poland

 

The most common mistake is starting with the transport date instead of the documents.

Another is assuming that every vehicle in a fleet has exactly the same legal status.

 

For example, a 40-car batch may contain 30 vehicles owned outright by the company, six leased vehicles and four vehicles that have already been sold.

Those are not necessarily 40 identical administrative cases.

 

Companies also frequently leave document handover until the final day, fail to verify who is authorised to represent the corporate owner, or start the foreign registration process without establishing how the Polish registration will be closed.

 

For a large fleet, one representative document check before the project starts can identify most repeated problems.
